Introduction
The use of the church sanctuary, multi-purpose room, kitchen, and church grounds has basic guidelines that are to be followed. There will be no charge for members using the Church for religious functions or Church Related use. This includes activities by UMW, UMM, Youth Group meetings and Sunday school classes.
Scheduling Usage
The Church Calendar must be checked before planning any event to be held at the Church. These events must be scheduled through the administrative assistant and the date and general information recorded. In the case of the scheduling by a non-member group or outside activity, the information is to be given via email or personally to the Chairperson of the Trustees for final approval. It is the duty of the Trustees to review any request and provided feedback to the requestor(s) in a timely manner, with an approval or disapproval (with reasons provided) at that time. A resubmission of the rejected request is to be submitted to the Board of Trustees after the concerned issues or subjects have been corrected. A re-evaluation of that request for usage of church property will be completed by the Board of Trustees with the requestor being notified within a 24-hour timeframe of its approval and/or rejection.
Use of the Church Facilities by Members and Participants
The Church may be used by its members, and their household for personal events at no charge to the member. This includes the sanctuary and the multi-purpose room. There will be a $50.00 deposit required for each function, to be returned upon an acceptable inspection by the church janitor. Members may desire to hire the janitor to clean up afterwards or may clean it themselves. For Weddings only, member must pay a cleaning fee of $100.00 each for the sanctuary and/or the multi-purpose room. The building will then be cleaned by the church janitorial staff. The fee must be paid to the administrative Assistant when the reservation is made, and a three day, (72 hours) notification of cancellation must be made for a full refund. Non-active members or participants in the ministry at Trinity United Methodist Church must pay appropriate fees to use the facilities. Non-active is defined as a member or participant who has not attended or participated in the church ministry within the last six months. The Board of Trustees reserves the right to refuse any request.
Use of the Church Facilities by Non-Members and Non-Participants
Non-members may reserve the Sanctuary and/or the Multi-Purpose Room for a rental fee of $150.00 per room and a cleaning fee of $100.00 per room. Should they require both rooms, the rental will be reduced to $250.00. The sound and Projection System will cost $25.00 per event (rehearsal, wedding, etc.) This is payment for the technician, from Trinity, for his or her services. No one will be allowed to run this equipment themselves. No one, other than Trinity UMC personnel, will be allowed to run this equipment. For Weddings only, non-members must pay a cleaning fee of $200.00. Checks are to be made payable to “Trinity UMC-Morristown.”
Non-active members or participants in the ministry at Trinity United Methodist Church must pay appropriate fees to use the facilities. Non-active is defined as a member or participant who has not attended or participated in the church ministry within the last six months. The Board of Trustees reserves the right to refuse any request.
Use of the Kitchen and Equipment
If the kitchen equipment will be required, you must have a lesson from the janitor or a member of the kitchen committee before using the equipment. Training must be scheduled during the regular or normal working hours of the janitor or a kitchen staff person and at a reasonable time, most generally 8:00am to 12:00 noon, Monday through Friday. For any other time, special arrangements will be made through the administrative assistant in the church office. The church office is open only from 8:00pm to 12:00 noon, Monday through Friday.
Use of the Multi-purpose Room
Fee for the use of the Multi-purpose room for athletic activities (practice or games) will be $25.00 per half court, per hour. This fee does not include use of the kitchen. The time must be scheduled from week to week and is subject to cancellation for Church events.
In the Event of Damage to the Church
The persons making the arrangement for the use of the church will be held liable for any damages that are found after an inspection of the facility has been completed. Reimbursement to the church for any and all damages will be invoiced to the person making the arrangements and/or other parties involved with the church use.
Outside Groups Using the Church
In the event an organization outside of the church is requesting usage of the church sanctuary and the multi-purpose room, the following criteria is to be met.
1. “Procedures for scheduling the use of buildings and equipment, including the names of persons or committees authorized to make decisions about requests for building use.
2. Availability of the buildings and facilities to non-church groups; prohibition against the use of church facilities by for-profit organizations.
3. Non-church groups must provide certificates of insurance naming the church as additional insured and listing the names of the responsible parties using church facilities.
4. Agreements and releases of liability must be signed by the non-church group.
5. Donations request to offset expenses involved in building use. Note: if donations are requested or fees are collected for building use, an attorney should be consulted to determine how these actions may affect the tax-exempt status of the local church property.
6. It is the responsibility of users to cleanup, lock up, and care for the facilities, or special provisions or arrangements for the use of the church custodial staff for these services.
7. Limitations on the use and movement of furniture and equipment, including musical instruments and sound equipment.
8. Arrangement for custodial services.
9. Special provisions for the use of the kitchen and arrangement for food service.
10. Designation of room that may or may not be used for special functions.” 1.
